Therefore, for new clients, it is suggested that you contact your Administrator well in advance of the Annual Meeting date (sixty (60) days is preferable), to discuss the functions we will perform. If you fall under SEC Regulations a search card must be sent at least twenty (20) business days prior to the Record Date to all broker and nominee accounts appearing on our records. In order for us to prepare such a card and meet the mailing deadline, we must be advised of pertinent dates at least five (5) weeks prior to the Record Date. With regard to the proxy card, you should advise your printer to leave an open area (throat area) of at least 1-1/2" x 4-1/2" in the bottom, left-hand corner of the card. This area will be used by us to affix a label indicating the shareholder's name, address and other shareholder information. We can provide you with sample cards if you so request. Also, for clients who have a limited number of shareholders and routine requirements, we will be able to assist in the printing of the material. The use of Bi-Pak envelopes is suggested for proxy material. Please advise the printer of your proxy cards that the cards should be designed for mailing in a BI-Pak envelope.
