Should there be any dispute on how many total room nights were utilized and/or total number of rooms booked at Hotel by xxx, the following steps will be followed.
Hotel will provide to Group a list of all rooms booked by Group. Group will then compare the rooming list with Group’s list of registrants. The list of those meeting attendees not identified on the Hotel’s name list will be submitted to the Hotel and the Hotel will check that list against its total in-house list. Any guestroom occupied by an individual on Group’s list but not booked through the Group will also be counted toward the total pick-up and commission calculation.
Items to include in the Contract
· Room rates must be provided in PLN and include VAT and breakfast for 1 or 2 people.
· Please indicate the maximum number of people that each room can accommodate. If it is more than 2, please indicate if there is an additional fee for more than 2 people staying in the room.
· Room rates must be commissionable at 10% payable to the xxx. |

Group organizers do not want to turn anyone away, so typically they inflate the number of rooms they contract to provide a cushion in case their group grows in number. Most hotels allow this type of contracting because the actual group pick-up will be known well before other segments begin to book.

Once you’ve decided which vendor will handle your housing arrangements, the next step is to make sure that your meeting attendees stay within your contracted housing block. First, during contract discussions with your hotel, make sure you negotiate to receive credit for all rooms that are part of your group, even if the guests booked the rooms through channels other than your housing vendor.
