German term or phrase: überwachtes Exemplar
This is in reference to a Quality Management Handbook. It basically means that this handbook may only be read and kept by authorized employees/departments, and may not be passed on to anyone outside this authorized circle. Is there a standard term for this?

Clarification request(s) and response
Danjela: 4:25pm Mar 5, 2005: Jessica - could you please give us the whole german sentence, please? -
Jessica K. (asker): 6:48pm Mar 5, 2005: Danjela, there is no sentence here. There is a choice of "Überwachtes Exemplar" or "Informationsexemplar" on the cover of the handbook, either of which can be checked or left unchecked.
Danjela: 8:26pm Mar 5, 2005: Okay - so I don't see why it should be confidential. I still think that this choice concerns the distribution of the book, either the one to whom it is given will have the next revision of the handbook, too (überwacht) or not (if it is only for info. -

XYZ COMPANY recognizes its responsibility as a provider of quality products/services. To this end, XYZ COMPANY has developed and documented a quality management system. The quality system complies with the international standard ISO 9001:2000, Quality management systems - Requirements. This manual provides comprehensive evidence to all customers, suppliers and employees of what specific controls are implemented to ensure product/service quality.
This manual also governs the creation of quality related documents. It will be revised, as necessary, to reflect the quality system currently in use. It is issued on a controlled copy basis to all internal functions affected by the quality system and on an uncontrolled copy basis to customers and suppliers. It may be issued to customers on a controlled copy basis upon customer request.

Can someone give me an ISO or QS interpretation definition of what is a "Controlled and Uncontrolled Copy" I would like to know when a company should consider what they must control and what they can consider for reference use only.
A Controlled copy is always at the correct/latest revision level. When a change is made, it is retreived and replaced.
An Uncontrolled copy is a bit harder to get you hands around, and is where the variation comes in. Other than it is not replaced when a new rev is issued.....it could mean anything.

Each individual issued a controlled copy of the EMS Manual is responsible for maintaining a current version, and for the manual's safekeeping.

Uncontrolled copies of the EMS Manual may be distributed outside of WSU's EH&S (e.g. other activities, departments, facilities or other interested parties either internal or external to WSU). All uncontrolled copies are to be marked "Uncontrolled-For Reference Only".

I am selecting this answer as "controlled copy" has a high number of relevant hits in Google, all of which support the idea here. Danjela, I fully agree with your interpretation of what an "Überwachtes Exemplar" is, but it seems that "controlled copy" is the standard term used in English.

confidential copy

Explanation:
Although "monitored copy" is a correct literal translation for this, I am wondering how a handbook can be monitored, so this is a suggestion in regards to what this term actually seems to stand for.

agree BrigitteHilgner: I am not aware of a standard term, but this should make clear what is meant.

agree xxxJeffFish: If it appears on the cover or in a header/footer, you can just say "confidential"

  -> Thanks, Jeff

agree Kim Metzger: I'm with you, Renate. If a copy is confidential it is subject to controls. "Monitored copy" just isn't something native speakers would readily understand.

Explanation:
sorry if I insist but I am working in a quality department and know a little how quality assurance or management handbooks are handled :))

They are given to customers or inspection agencies, potential customers and of course to the own staff (not to everybody but everybody can and has the right to get one). The diffusion is controlled what means that there is a register/calendar where you can see (the diffusing personnel) who has got one and in case of revision the concerned people get the revision, too (and have to give back the old one).
Good luck!

neutral Kim Metzger: I'm sure you know how QM works but you've got a few problems with your English: diffusion/diffusing (distribution), "the own staff" = in-house staff, "what means" = which means, "the personnel who has" = have
11 hrs
-> Kim, I know that my English is far from being perfect but I did not know that only native speakers are allowed to talk English here. Moreover I don't understand what you mean by "the personnel who has"=have ... but that's not important
