ESTADOS FINANCIEROS Caja y Bancos Libro o Registro de Caja: En la observación realizada en la culminación del ejercicio económico 2011 del libro registro caja; el referido libro ha sido reemplazado en el ejercicio económico 2012 por las hojas sueltas y computarizadas, y quedando pendiente su regularización de aprobación de la Dirección de AECA. Recomendación: Se debe disponer que los nuevos registros de Caja que son de hojas sueltas computarizadas una vez conciliadas las operaciones de Caja deban de refrendarse con las siguientes firmas; Contadora, Manager, y Tesorero, para dar su conformidad de aprobación. 2.-Inventarios Observaciones: Aun se mantienen las observaciones del ejercicio económico 2008, 2009, 2010 - Existen diferencias entre la existencia física y los registros de control (POS). - El inventario no se encuentra detallado en los registros contable se encuentra categorizado de manera genérica. - Productos con fecha de caducidad, observación superada - Existen productos de lenta rotación - No se ha ingresado correctamente los cálculos del costo de la compra de importación, como se cita en el ejemplo. Diferencias Inventario Físico y Registro contable Productos con fecha de caducidad La observación de los productos con fecha de caducidad ha sido superada en forma parcial en 90% aproximadamente, mediante una nueva política de ofertas de precios rebajados, y en algunos casos de obsequios voluntarios para los miembros que desean llevar los productos. Productos de lenta rotación. No se ha ingresado correctamente los cálculos del costo de la compra de importación. Efectos: Para el caso de las diferencias de inventarios en el POS y el conteo físico podrían originar que se realicen ajuste contable por inventario. En el caso de productos de lenta rotación; su existencia origina un costo de almacenamiento. Al no elaborar en forma correcta los costos de la importación origina que no se trasladen con exactitud el precio del producto al Sistema POS. Recomendaciones: La gerencia en coordinación con contabilidad y personal encargado de almacén debería emitir un memorando de Planeamiento trimestral para la toma de Inventario Físico en forma selectiva de acuerdo a la estadística de mayor incidencia donde se da la diferencia entre lo físico y contable y determinar su ajuste debidamente sustentada y aprobada por la gerencia. Determinar mediante un análisis de ventas de los productos de lenta rotación ya que equivale a un costo de almacenamiento. Los procesos de digitación de las compras de importación en el POS y las compras locales que incluyen consignaciones. Una vez terminada de ingresar al sistema del POS por el digitador deben ser supervisadas y posteriormente revisadas mediante un análisis de los productos ingresados y determinar oportunamente la validez y pertinencia de registro. Sin este control de calidad hay la probabilidad de repetir errores. Se debe asignar la responsabilidad directamente a contabilidad del control del POS de inventario. 3. Empleados Observación: Aun se mantiene la observación del año fiscal 2009, 2010 y 2011 no se han realizado cursos de capacitación externa al personal involucrado en el almacén y la tienda. Efecto: La capacitación de los empleados es un medio importante para una mejor comunicación oportuna y precisa. Recomendación: La Administración de AECA debe establecer un calendario para la capacitación del personal que trabajan directamente en el Almacén y la Tienda. Differences between the Physical Inventory and the Accounting Record Products with an expiration date The observation of the products with an expiration date has been partially overcome in a 90% approximately, through a new policy of discount price offers; and in some cases, voluntary gifts for the member who wants to acquire a product. Slow turnover products The cost calculation of the import purchase isn’t correctly entered Effects: In the case about the differences between inventories in the POS and the physical counting; this could generate accounting adjustments by every inventory. In the case about the slow turnover products; their existence generates a storage cost. When the import costs aren’t correctly developed, the product price isn’t transferred with accuracy to the POS System. Recommendations: The management department with the accounting department and the staff in charge of the warehouse should issue a Memorandum of Quarterly Planning, in order to take the Physical Inventory in a selective manner; according with the greatest impact statistic; where you can find the difference between the physical and the accounting; and establish an adjustment correctly proven and approved by the management department. Establish through a purchase analysis of the slow turnover products; since it is equivalent to a storage cost. Once the data entry process of the import and local purchases, which include consignments, in the POS is finished by the data entry clerk; these must being supervised and subsequently checked through an analysis of the entered products, in order to establish the validity and appropriateness of the record. There is the possibility of repeat mistakes without this quality control. The responsibility of the Inventory POS Control must be assigned directly to the accounting department. 3. Staff Observation: The observations from the financial year 2009, 2010 and 2011 currently remain. There aren’t developed external training courses for the staff in charge of the warehouse and store. Effect: The staff training is an important resource for a better timely and accurate communication. Recommendation: The Management of AECA must establish a calendar for the staff training, which work directly in the Warehouse and the Store.
