Process / workflow description

PROFIT-GROUP Trading Procedure
1. Offer actions.
Offer actions comprise information exchange, pre-agreements and partners credibility checking/verification. Required records - E-mails, records related to partners credibility.
2. Offer acceptance.
At this stage we perform a contract review process with a Client. This stage ends with sending an information about an order confirmation (according to below point 3) or rejection. If the order is rejected the Client should be informed about main reasons of order rejection. On this stage all important conditions/requirements need to be agreed and confirmed in a written way. As a minimum the important conditions/requirements include; written definition of a task/job, date and time of delivery (deadline) and price. Required record - E-mail containing essential data identifying the Contractor and all important conditions/requirements.
3. Order confirmation.
Before starting the order realization process each order needs a confirmation exchange in a written way. It is a must.
4. Order realization process.
According to the conditions/requirements and agreements with quality assurance (QA)/ checking. Depending on mutual agreements the checking may be performed by self-sufficiently or independently by an approved expert which usually makes the service/product more expensive.
5. Delivery preparation.
At this stage all the products (files) related to the order and delivery are finally reviewed and tested taking into consideration all conditions/requirements and terms agreed in the order and further correspondence. In the archiving process they are stored and kept in electronic database (folders/ catalogues) for a minimum period of 1 year.
6. Delivery.
Here we take care about delivery confirmation receipt from our Clients. Confirmation received via E-mail is enough.
7. Actions after delivery.
At this stage we observe information from our Client, prepare and deliver an invoice, observe payment reception, ask our busy Clients to make the payment when they forget to do it on time, correspond with them and preserve stored documents and records.

Procedura Handlowa PROFIT-GROUP
1. Działania ofertowe.
Działania ofertowe obejmują wymianę informacji i ustalenie wstępnych deklaracji stron umowy, badanie wiarygodności partnerów itp. Wymagane zapisy - korespondencja elektroniczna E-mail, zapisy z działań ofertowych i badania wiarygodności partnerów.
2. Przyjmowanie zamówienia.
Jest to etap przeglądu umowy z Klientem. Etap ten kończy się wysłaniem klientowi informacji o potwierdzeniu przyjęcia zamówienia do realizacji (zgodnie z poniższym punktem 3) lub jego nieprzyjęciu. W przypadku nie przyjęcia zamówienia wymagane jest podanie uzasadnienia. Na tym etapie wszystkie istotne warunki muszą być uzgodnione i pisemnie potwierdzone. Do warunków istotnych zalicza się co najmniej: pisemnie zdefiniowanie zadania, terminu dostawy i uzgodnionej ceny. Wymagany zapis - przynajmniej zapis elektroniczny E-mail z danymi zamawiającego i uzgodnionymi, istotnymi warunkami zamówienia.
3. Potwierdzanie zamówienia.
Każde zamówienie przed uruchomieniem procesu jego realizacji wymaga przesłania pisemnego potwierdzenia do zamawiającego (Klienta).
4. Realizacja zamówienia.
Według wymagań i uzgodnień z zapewnieniem kontroli jakości. W zależności od zamówienia i wzajemnych, potwierdzonych uzgodnień kontrola jakości może być realizowana samodzielnie lub przez innego, kwalifikowanego specjalistę, co na ogół zwiększa cenę usługi.
5. Przygotowanie dostawy.
Etap przygotowania dostawy ostateczny przegląd produktu/usługi przed wysyłką na zgodność z zamówieniem i uzgodnionymi wymaganiami, archiwizację utworzonych dokumentów i zapisów w bazie elektronicznej - czyli we właściwych do tego celu folderach. Produkty realizacji zamówienia (w tym pliki elektroniczne) i zapisy archiwizowane są przez okres minimum 1 roku od daty realizacji dostawy.
6. Dostawa.
W ramach dostawy sprawdzane jest czy Klient otrzymał produkty dostawy. Wystarczający dowód stanowi potwierdzenie drogą E-mail.
7. Działania po dostawie.
Etap ten obejmuje śledzenie informacji zwrotnych od Klienta, wystawienie i przekazanie Klientowi faktury, potwierdzanie płatności, ewentualne działania przypominające lub windykacyjne, utrzymywanie kontaktu z Klientem, ochronę zapisów i dokumentów.

Quality Assurance Process
1. Starting the work/job/task.
When we start and perform the order realization process (work/job/task) we need to know that the order is still valid. That is one of the reasons why we usually work online. The second one is that during the work we use worldwide internet resources such as GOOGLE, DICTIONARIES, GLOSSARIES, FORUMS etc.
2. Finishing the work/job/task.
When the work is finished we perform a first checking. We review actual product of our work, run spell checking, name and save files in the right folders/catalogues.
3. Final checking.
Before each delivery we must be sure that our product meets agreed requirements.
We perform final test/checking of the files and prepare a delivery.
4. We always react to changes which can arise during the realization process.
5. We always look forward to receiving a valuable opinion from our Clients or experts evaluating our final products and services because in such way they give us a desired possibility to evaluate their satisfaction and/or enable taking corrective actions - taking a part in improving our services and products and giving us a chance to be as good as possible.

Proces Zapewnienia Jakości
1. Rozpoczęcie pracy/zadania.
Rozpoczynając proces realizacji zamówienia/pracy/zadania musimy być pewni, że zamówienie jest wciąż aktualne. Jest to jeden z powodów prowadzenia pracy w trybie online. Drugim powodem jest to, że w czasie pracy korzystamy z obszernych zasobów światowego internetu takich jak GOOGLE, SŁOWNIKI, GLOSARIUSZE, FORA DYSKUSYJNE itd.
2. Kończenie pracy/zadania.
Po zakończeniu pracy/zadania samodzielnie przeprowadzamy kontrolę jakości wytworzonego produktu/usługi (plików). Dokonujemy przeglądu aktualnego produktu/usługi, przeprowadzamy kontrolę jakości tłumaczenia za pomocą programowych narzędzi do sprawdzania poprawności tekstu (gramatyka, interpunkcja - pisownia), nazywamy pliki i zapisujemy je we właściwych folderach/katalogach.
3. Końcowa kontrola jakości - przed dostawą.
Przed każdą dostawą usługi do Klienta musimy być pewni, że tłumaczenie spełnia wszystkie wymagania uzgodnione w umowie (zleceniu/zamówieniu).
Przeprowadzamy zatem końcową kontrolę jakości/sprawdzenie plików i przygotowujemy dostawę.
4. Zawsze reagujemy na zmiany, które mogą wyniknąć w trakcie procesu realizacji usługi.
5. Zawsze oczekujemy na otrzymanie wartościowej dla nas opinii klientów i ekspertów oceniających nasze produkty finalne (tłumaczenia itp.) oraz sposób świadczenia usługi (komunikację/procedury/organizację/działania itp.). Dzięki takim opiniom dowiadujemy się o poziomie satysfakcji naszych klientów, co w razie potrzeby umożliwia nam podejmowanie działań korygujących i/lub zapobiegawczych dając nam jeszcze lepszą możliwość świadczenia usług tak dobrych jak to możliwe.
