What if a company won't even FILE your invoice?

I am currently battling a translation company who has a 45-day payment period which only begins counting AFTER the invoice is filed into their own specialized invoicing system. Trouble is, their invoicing system keeps refusing the invoice and PMs will not answer emails. I luckily have legal support to deal with these people, but what if I didn't?

As a side note, when I initially dealt with this company they had a somewhat decent Blue Board rating, only for it to plummet and result in their prohibition from posting on Proz over the time period in which I did projects for them.

How do your legal advisors see this? Surely, if you send a company an invoice that complies with all the legal requirements, they are bound to honour it, aren't they? Although I suppose if you signed an agreement to use their system then you have to comply with that.

Do you have a signed agreement with them? Do the terms specify the payment period exactly as you quote it above?

I think I know whom you are speaking about. If my guess is correct, then I can say that in fact their online system works like a clockwork, and if the system rejects your invoice, this means that something it wrong with it (i.e. with your invoice): either the number, or the name, or the amount, or anything else. I had a few POs that contained mistakes but all problems have been always solved immediately.

If some PM does not respond, contact the department - there are senior managers who will be certainly able to help you.

with this particular company (I believe we are speaking of the same one).

If your invoice won't upload, you should check all the info you have typed into their online system against the PO originally issued for this particular job. Also be sure you have typed in the exact amount and used a dot as decimal separator.

If everything checks out exactly as stated on the original PO, you should use the link for the support site. I haven't actually needed to do this, so I cannot tell you if they are responsive or not.

I do know, though, that it can be extremely tedious and next to impossible to get a response from the original PM once the job is done. That seems to be standard procedure :-S

And please make sure you do not enter a low BB rating simply on accoount of an error when uploading your invoice that could actually turn out to be an "error 42" (user error).

Good luck with the uploading - it IS as hassle.

My invoice was perfect, and was verified as such on Friday. In order for your invoice to be submitted, the PM has to correctly enter the project into the system before you do. The PM either did not do this or forgot to include my portion of the word count, thus my invoice was rejected.
The PM took her sweet time and occasionally sent me emails saying that she was looking into it, until finally I harassed them by phone for a full day. I simply did not let up. Everything was verified, including my invoice, the way I tried to enter it, word count, etc. The problem was entirely the PMs fault. What made me very angry is that a couple of her emails stated that she was "busy with rush jobs", to which I replied that she had not completed her responsibilities for past projects.
As for the payment period, I initially had no problem working with their stipulation that payment would be made 45 days after an invoice entered their system. I did not know how hard it would be to get POs to also enter all information correctly into the system. This is just the worst (and last) case I have had with their company; most of the POs delayed updating word counts, and filing the PO into the system, etc.
I entered a (1) rating on the BB, but this company has already been banned from posting anyway. This is actually just one problem of many with this company that I have chosen to share, since I thought it was a unique problem (POs clearly stating that payment is made 45 days after submission, but then making submission delayed, complicated, or even impossible in my case). All the other problems were run-of-the-mill poor business practices on their part that translators often have to deal with.
Everything has supposedly been resolved in the last few days, with the entire responsibility for the situation on the PM. I was promised expedited payment, but we'll see. I most certainly won't be working for them again.

I have had my own experiences with this particular company and hardly ever work with them now, mostly due to the ridiculous rates and deadlines they now seem to specialize in.

But I certainly can't help but wonder - does anyone know (or have an educated guess as to) why they were banned from posting jobs here?

(Not that such a move means much in the end, but it does make me curious)

If this is the same company that recently contacted me for editing jobs which apparently requires 5 (!) unpaid tests and contact data to our direct clients (only, for reference purposes, of course, only for reference purposes... )

Never heard of such a thing from this particular company, but then, I'm not listed as an outsourcer or company in my own right.

This company is an excellent outsourcer and an excellent payer, however, due to various reasons people complain from time to time that they haven't received their payment. In accordance with ProZ.com rules, the job posting rights of a company that has two or more non-payment complaints, are suspended. As lots of translators work for them, it is quite easy to gather two complaints (or sometimes more).

This is obviously a different company and, moreover, obviously not a trustworthy one.

Indeed. A company that is asking for the contact data of private clients is most certainly not a trustworthy one.

I sent you a private message through your profile. I did not send the email header as I have the contract and the required data sheet already on hand. I am very hesitant to sign any of this, to put it mildly.
