How to save changes made in Microsoft Word in the TM

My question is about SDL Trados 2007.

There are translation assignments in which I use SDL Trados and my client (which is usually another translation agency) does not. Upon receiving my translation in Microsoft Word format, the client forwards it over to another translator for review (in line with NEN-EN standards, etc.). Then I receive the Word document back, with some suggested changes in the translation. I have no problems in applying those changes in Word. The communication with me and the client goes smooth.

But afterwards I want to apply those changes that I have made in Microsoft Word, in my Translation Memory. I tried various altenatives so far to accomplish this, using the Clean-up command. They didn't work.

I don't want to apply such changes manually, one by one in TE and save them again in the TM. That will take a long time.

Is there a quick way to do this?

Trados Suite 2007.

The Clean Up function updates the TM only if you open the segments to apply the changes. It is cumbersome and time consuming.

What I do is:

turn Track Changes off,
apply the accepted changes in Word,
save the document,
open the first segment, and
translate to fuzzy.

Workbench will stop only on segments changed and they will display in yellow rather than green; hit translate to fuzzy at each stop so each segment changed is rewritten to the TM, and so on until the end. The TM is updated and you can run the Clean Up.

Hello Luisa,

I tried to implement your suggestion and I encountered a problem. I followed the steps you suggested. I saw that the changed translation got indeed saved in the TM, it didn't overwrite the translation "before changes". So there were two suggestions in the TM for the same translation unit. And next time I opened up a document containing the same source text in the TE, TM suggested the translation "before changes", so just when I think I have my TM updated, I see that it is not.

Has it got something to do with "overwrite, merge, leave unchanged" options in the Translation Memory Options menu? If so, what should be selected?

Mine is always "Merge", on the changed translation unit column undet TM options. I do not mind having more than one translation for identical segments. I guess yours should be "Overwrite" then, but you better check the documentation.

Take a look at:

Tools - Translation Memory Options - General tab - Updating attribute and
text fields:

Is "Do not create new translation units if only text fields differ" checked?
It should be.

If you have multiple translations enabled for your memory:

Tools - Translation Memory Options - Tools tab - Multiple Translations:

Make sure that the "Always add new translation unit when target segments
differ" is NOT enabled.

Seeing as your memory is password-protected, you might not be able to make
any changes to the above options.

I would suggest this:

Use the password-protected memory as read-only and set up another memory
containing the final edited versions of your (previous?) file(s). That way
you have control over the various versions.

Also make sure that the same attribute settings are used in every case as a
difference in attribute settings causes a new variant of a TU to be saved.
(This feature is useful if you do similar jobs for two different customers
requiring different terminology. By setting up a client attribute you can
filter on it and always have the specific TUs for a customer shown first.
When setting a filter, any segments matching the filter show up green,
others show up yellow.)"

I just had a chance to try it out. It works! Thanks a lot Luisa!!

Things that did the trick for me:
In TM Options, choose "Overwrite" / enable "Do not create new translation units if only text fields differ"
Reopen Word document in TE, Translate to Fuzzy.
