How to choose the proper translation for my document from two results output by the TM

Hello everyone:

I apologize if my question seems obvious for more experienced SDL Tados 2009 users.

I'm working in a translation within my team. After countless efforts trying to decide what project workflow would be the best for the in-house team we uploaded the project in a certain address and stopped sending/returning packages (to avoid the complications of project memories or achieve a more real-time updating of the memory) and from there each translator would double-click the project and start working on their corresponding segment(s).

Once the translation is finished we team up and agree on the consistency of certain terms and I ask the team to always update the memory as soon as they make the proper changes (to allow the new translation unit to turn up in the TM). However, when I finalize the project and open the target translation in Word the changes are simply not there. I then re-convert the target translation to sdlxliff and pretranslate it and the translation units with the amended terms appear AFTER the original translated unit. If you apply the second result no problem at all, I can do it...but what if SEVERAL TERMS were changed and/or the translations is way too long and/or several translators have worked in it? Is there something I can do or a part in the process or apply a penalty? Or simply put I'm doing something wrong?
