inventory adjustment note

A 冲单 may be either a credit note (to decrease the amount owned by the customer) or a debit note (to increase the amount owned by the customer). It is issued to adjust the amount owned by the customer when there is a discrepancy (excess or shortage) in the delivery of goods. A 库存冲单 is usually prepared after an inventory count and some excess or shortages have been discovered. An adjustment note is prepared, just the same way a normal debit or credit note is prepared. However, this is usually debiting an "Inventory excess or shortage" expenditure account directly, rather than affecting your customer or supplier balances. The manager of a warehouse would have to approve this adjustment note before it is processed by the bookkeeper or accountant. See a sample of a 库存冲单 in English in one of the following references.

An adjustment note may be sometimes a write-off, but it is not always the case. Sometimes some inventory items may be found in an inventory count (commonly known as a stock-take), out of nowhere. Mistakes may not always be a loss = 寨翁失马!
