À votre arrivée à 20 h 30, veuillez remettre la télécopie à Dean Richards, s'il vous plaît.

Explanation:
Hi Robin,

By check-in, do you mean the arrival of the person at the office? At least this is how I understand the term. If so, then this person is to hand the fax to D.R., which is exactly what my translation into French says. In Québec, we say "télécopie" for fax. If you prefer French from France, then please substitute it with "fax."

Thank you.

Veuillez remettre le fax à Dean Richards à son arrivée

Explanation:
I assume that by "check-in" you mean Dean Richards check-in. I have doubts about another aspect of your sentence, however. Is "Dean" the person's first name, or is this his/her title. If this is a title, you'll need to make some adjustments, because you wouldn't identify the person by "dean" at the hotel desk. So here are two options for you:

(1) feminine:
Veuillez remettre le fax à Mme./Mlle. Richards à son arrivée

(2) masculine:

Veuillez remettre le fax à M. Richards à son arrivée

URGENT! Passer à M. Dean SMITH dès son arriver à 20h30.

Explanation:
The other translators were incorrect in not giving what you know as 'military' time. This is paramount. Also, in Europe, it is the custom to capitalize the surname. Not to use a title is considered rude. You should also use the gender title for clarity. For a fax you should state the status, URGENT, etc. and as brief a message as possible, especially if it calls for action. -Dr. Poche'

arrivée

Explanation:
Please note spelling.

In fact, in Europe, names are written in capitals. Also, messages are more impersonal.

Thank you to the other participants for the explanation about who arrives.
