it's the idea that the people organizing a business meeting in a hotel can access the meeting room quickly.
But it's more than access - I'm almost tempted to say "take possession" but that's too harsh. But it's that idea of control...

Mara - without any more context except that this is training for hotel employees, I would guess that in your second phrase, the hotel employee is "presenting" the equipment and the employee and client are together verifying that it works. So...
Hi Steven, I like your "timely access", but here's a little more context to explain why I think there's a little more to it. Later on in the text it says:
Prendre en main sa salle de reunion avec la presentation des differents materiels et equipements et la verification de leur bon fonctionnement.
So not only to they have quick access, but they "take ownership" as it were of the room - they know how the equipment works, they can take charge.
