1. Storage and deletion of data
ABC has introduced the following general guidelines for the storage and deletion of personal data regarding applicants, employees and former employees.
• Personal information is stored in physical directories
• Personal information is stored in IT systems and on server drives
• Personal information is only kept as long as is necessary to fulfil the purpose of the processing
• All applications must be submitted to [email protected]. Personal data for applicants is deleted after 6 months and personal data for employees is deleted 5 years after the end of employment
2. Privacy Policy
ABC has implemented the following personal data protection measures:
• Only employees who have a work-related need for access to the registered personal data have access to this either physically or through IT systems with rights management.
• All computers have passwords and employees must not share their passwords with others.
• Computers have firewall and antivirus software installed that is constantly updated.
• Personal information is deleted in a proper manner by phasing out and repairing IT equipment.
• USB devices, external hard drives, etc. with personal data are stored in a locked drawer or filing cabinet.
• Physical folders are stored in locked offices or in locked filing cabinets.
• Personal information in physical folders is removed by shredding.
• All relevant employees are instructed in the processing and protection of personal data.
3. Disclosure
Personal information about employees can be passed on to public authorities, e.g. tax authorities and pension companies.
4. Data Processors
ABC only uses data processors who can guarantee that they will implement the appropriate technical and organisational safeguards to meet personal data requirements. A written data processing agreement is entered into with these data processors.
5. Rights
ABC is responsible for the data subject's rights, including the right of access, the withdrawal of consent, rectification and deletion, and informs the data subject about the company's processing of personal data. Registered persons have the right to complain to the Data Protection Agency.
6. Breach of Personal Data Security
In the event of a breach of personal data security, ABC shall notify the Danish Data Protection Authority as soon as possible and within 72 hours. The company's Data Protection Officer is responsible for this. The notification describes the breach, which group of persons or person it relates to, and the consequences that the breach may have for these persons. ● Alle datamaskiner har passord og ansatte må ikke oppgi passordene deres til andre
● Datamaskiner har installert brannmur og antivirus-programvare som kontinuerlig oppdateres
● Personopplysninger slettes på en forsvarlig måte ved utfasing og reparasjon av IT-utstyr
● USB-nøkler, eksterne harddisker, etc. med personlige data lagres i en låst skuff eller et avlåst skap
● Fysiske mapper oppbevares på låste kontorer eller i avlåste skap
● Personopplysninger i fysiske mapper slettes ved makulering
● Alle relevante ansatte er instruert i behandling og beskyttelse av personopplysninger
3. Videregivelse
Personlig informasjon om ansatte kan overføres til offentlige myndigheter, som for eksempel Skattevesenet og Pensjonskassen.
4. Databehandlere
ABC benytter utelukkende databehandlere som kan garantere at de vil implementere de nødvendige tekniske og organisatoriske sikkerhetsforanstaltninger for å imøtekomme kravene om personvern. En skriftlig databehandlingsavtale skal inngås med disse.
5. Rettigheter
ABC håndterer den registrertes rettigheter, herunder adgangsrett, tilbaketrekking av samtykke, rettelse og sletting av data og informerer den registrerte om selskapets behandling av personopplysninger. Registrerte personer har rett til å klage til Datatilsynet.
6. Brudd på persondatasikkerhet
I tilfeller av brudd på persondatasikkerheten, skal ABC anmelde dette til Datatilsynet snarest mulig og innen 72 timer. Dette ansvaret hviler utelukkende på selskapets Data Protection Officer.
